Description

Co-ordinate the execution of the Document Management plan incorporating the contractual requirements of the assigned project. Under direction, perform the full range of activities associated with the Document Management requirement on the Project/s. Guides and assists personnel in the setup and execution of Document Management processes and systems. Collaborates within the department and interfaces with the project team, client and sub-contractors to ensure that work processes are aligned with corporate processes and contractual requirements. Ensure that project document deliverables are identified and delivered on time.

Accountabilities & Responsibilities

  • Implementation and execution of the project specific Document Management strategy, process & procedures in support of the scope of work performed and the specific project needs and goals.
  • Ensuring implementation and compliance with project policies and processes.
  • The success of the project Document Management activities and in the deliverables being delivered in accordance with agreed schedules, milestones and cost, focused on aiding project goals and objectives.
  • Effective management of the supply chain Document Management activities that ensure delivery of cost-effective services to the agreed scope of work.
  • Ensureing the establishment, maintenance and usage of Document Management processes, systems and tools.
  • Preparation of Document Distribution Matrices for Engineering, Third party and Supplier documentation.
  • Understanding the limitations of the system in order to instigate the necessary changes to work practices accordingly and works with the database administrators to improve the service.
  • Executing work in a manner that achieves contractual objectives and set the standards for the Document Management team.
  • Communication/liaison with Project Management & Team, Client and Sub-Contractors effectively and resolve problems & issues relating to documentation, change in scope of work.
  • Contribution to the development and training of Document Management personnel.
  • Assuring Document Management conforms to legislative and regulatory standards.

  • Able to use the full functionality of a proprietary Document Management system.
  • Ability to track and analyse data related to Document Management.
  • Ability to communicate effectively, orally and in writing, with people both internal and external to AWE.
  • Analyse complex data on Document Management and draw conclusions, and produce solutions;.
  • Manage stakeholder expectations and deliver service to meet contractual requirements.
  • Understand need for improvement and implement a plan to successfully manage change initiatives in a complex project.
  • Work under pressure in a fast paced environment and manage conflicting priorities to achieve tight deadlines.
