We are looking to recruit a full-time Sales Co-ordinator to work in our Glasgow Regional Office.

The Sales Co-ordinator will ensure that reservations are progressed to Legal Completion in a timely fashion in line with the Regional KPI of exchange of missives within 4 weeks – also responsible for forecasting and monitoring reservations against budget.

Reporting to our Sales Director, duties will include:

  • Co-ordination and completion of reports to achieve set deadlines including:
  • Legal Completion List
  • Build Forecast
  • Sales & Build Monitor
  • Missives and Completion Forecast
    • Market Research
    • Principal point of contact for acting solicitors for both Lovell and Client.
    • Reporting on all reservations and ensuring they are progressed to exchange of missives.
    • Provide reports on a daily, weekly basis in a timely manner.
    • Arrange legal set up meetings to agree Deed of Conditions and Deed Feu Plans.
    • Where necessary assist with appointing Managing Agents.
    • Check contract documentation and distribute to appropriate signatories.
    • Update and input data onto the Lovell Client Management system, paying attention to detail and checking for inaccuracies.
    • Maintain systems and administrative processes.
    • Respond to, and deal with legal correspondence and queries on plot sales, including contracts, transfers, leases and serving notices in a positive and professional manner.
    • Manage and update Legal Completion list.
    • Check final statements.
    • Update regional availability and development availability distributing accordingly.
    • Monthly update of insurance schedule for Group.
    • Monthly update of NHBC documents.
    • Prepare and distribute sales releases
    • Administrate standard letters to external companies and Clients.
    • Check and sign off contract approvals
    • Compile plot and site specific records as required by Lovell procedures.
    • Prepare monthly rotas for Sales team.

Communication with External and Internal Customers will involve:

  • Liaising with solicitors and external companies confirming details for Deed of Conditions.
  • Liaising with and providing a contact for sales offices on a daily basis.
  • Promptly responding to general enquiries coming in the Sales Department.
  • Ensuring all relevant parties are kept up to date on progress or delays.
  • Answer are dealing with all customer enquiries – verbal, e-mail or web-site) and add Client details to the Lovell Client Management system.

Experience in a Client Management system would be preferred, however not essential.
