Opportunity: 

We have a fantastic opportunity within our Major Projects business unit for an ambitious and talented HR Training Admin.    

The successful candidate will be joining the existing team of passionate and dedicated professionals. 

We are looking for a HR Admin to establish position as first point of contact for HR and training enquiries and provide timely and effective administrative support to the HR manager and all business unit employees.

Responsibilities: 

As a HR Training Admin you will:

  • Provide effective administrative support to the HR & training managers, Project Director and other functional heads of department, as appropriate
  • Provide HR support and advice to employees and line managers, explaining policies and procedures in a timely and effective manner
  • Manage the new joiner process from recruitment documentation through to joining instructions and induction
  • Handle maternity, paternity, adoption parental and other leave processes and queries and assist in the preparation of appropriate paperwork, as appropriate
  • Take ownership for the absence management system and liaise with JV HR contacts
  • Provide data for and prepare the monthly management information reports. Check accuracy and integrity of data by running reports to check. Follow up and correct where necessary
  • Maintain accurate headcount and training data
  • Manage the administrative side to the changes to terms and conditions process, transfers, payroll, allowances etc. i.e. forms and letters for the aligned JV Partner
  • Organise leavers arrangements including acknowledge resignation letter, retrieval of company property, inform HR Manager to enable exit interview to be held, and inform BMB Finance, IT and JV Parent Company
  • Provide support to the HR Manager and Training Manager with general HR/ Training transactional queries and administration as and when required
  • Ensure training records are entered accurately on Mosaic, kept up to date and monitored for qualification expiry
  • Scan and keep records of all training certificates, competence cards and site briefings / toolbox talks for all staff from all sites and offices
  • Distribute cards and certificates to people as necessary
  • Update BMB parent companies with the training and developments records from Mosaic on monthly basis for grant claim purposes
  • Liaise with training providers as required
  • Support community / legacy activity such as STEM / careers events, school / college activities, exhibitions, community investment activity as required
  • Deal with other correspondence and general HR and Training administrative support as required 

 

You will have a good working knowledge of company HR procedures and policies, and be educated to minimum A Level or equivalent in a business related discipline. A familiarity with HR databases and systems would be advantageous.
