About The Role

A Project Administrator is required on a busy contract in Barnet and your role will be to assist the Team in ensuring that the business maintains a professional approach to our Customers and staff. 

The purpose of this role is to deliver a first class administrative support to the project team, liaising with a wide and diverse customer base. Delivering an excellent level of client liaison to ensure high levels of customer satisfaction. The successful candidate will be responsible for efficient and effective planning of maintenance regimes and responsive repairs ensure we meet our client key performance indicators. Regular communication day to day with the project team, engineers and subcontractors in addition to the client and customers.

Your duties will include:

  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases and filing;
  • Devising and maintaining office systems;
  • Booking appointments with tenants/residents for planned works via telephone or letter correspondence, as and when required.
  • Using content management systems to maintain and update internal databases
  • Submit timely reports and prepare presentations/proposals as assign
  • Attending meetings, taking minutes and keeping notes; as and when required
  • Liaising with staff in other departments and with external contacts, as and when required;
  • Coordinating office activities and operations to secure efficiency and compliance to company policies
  • Ordering and maintaining stationery and equipment, plus welfare: develop system ordering to be more effective
  • Sorting and distributing incoming post and organising and sending outgoing post; plus tracking
  • Booking out meeting rooms and devising a working system so Barnet Group (Grahame Park) key workers acknowledge
  • Liaising with colleagues and management on delivery with contract requirements as and when required;
  • Organising and storing paperwork, documents and computer-based information (G: Drive);
  • Photocopying and printing various documents, sometimes on behalf of other colleagues
  • Weekly Payroll with Project Manager
  • Holiday & Sickness “tracking” and maintaining
  • O&M (Operations & Maintenance) Manuals, assisting site teams on developing individual schemes ready for processing to (CDMC – Brown & Currie)
  • Tracking (DLP) Defect liability Periods
  • General Helping out as and when required, including offering your assistance
  • Controlling weekly housekeeping with cleaners, making sure we are getting a good service
  • Managing agendas with upper management

About You

The person fulfilling this role should be organised, flexible and adaptable. All verbal and written communication to be achieved to the highest standard. A high level of customer service and professionalism is a must. 

To be successful in this role, you will have a proven track record in a fast paced customer service environment, particularly within the property services or similar related industry. You should have computer literate and have knowledge of Microsoft packages. You will have experience delivering and maintaining the service delivery and KPI reporting required.

 You must be reliable, able to work under deadlines and be able to prioritise accordingly.
