HR Administrator - Fixed Term Contract

Summary of role

Working as part of the HR administration team this role is the first point of contact for all HR administration enquiries for a given Business Unit.

 

Reports to: Lead HR business partner 

 

Responsibilities and accountabilities

Manage all aspects of HR administration through the employee lifecycle from the point of receiving recruitment documentation from the recruitment team.

 

Provide HR admin support and admin advice to employees and line managers, explaining policies and procedures in a timely and effective manner.

 

Process maternity, paternity, adoption parental and other leave processes and queries.

 

Provide data for and prepare the monthly management information reports.

 

Check accuracy and integrity of data by running reports to check.  Follow up and correct where necessary

 

Updating and maintaining the HR system in a timely manner ensuring all records are accurate.

 

Manage administrative duties for employee benefits including eye test and glasses voucher system, pensions, healthcare, company cars, long service awards, recruitment reward scheme and childcare vouchers.

 

Coordinate eligibility to work in the UK checks in line with BIA requirements

 

Manage the administrative side to the changes to terms and conditions process i.e. forms and letters.

 

Manage the administration of all employee car queries and liaise with the car providers as required.

 

Provide support to the lead HRBP with general HR transactional queries and administration as and when required i.e. responses to questionnaires/bid documents/reference requests and ad hoc projects.

 

Deal with other correspondence and general HR administrative support as required.

 

Qualifications, training and technical knowledge

 

-       Previous experience of working in a broad HR administrative role with a remote client group.

-       Previous experience of working with HR databases and systems – Cascade HR desirable but not essential

-       Previous experience of providing first line advice and guidance within a support function.

-       Competent using Microsoft office specifically excel – advance excel is desirable but not essential

-       Previous experience of using query building software to build HR reports and manipulate data is desirable but not essential.

-       Proactive and able to manage queries calmly and efficiently until resolved or escalated to the correct areas.

-       Excellent verbal and written skills and strong attention to detail.

-       Able to work confidentially with sensitive company information.

-       Able to manage own work load and effectively prioritise.

-       Excellent organisational skills and ability to multi task

-       Able to work confidentially with sensitive company information – willing to challenge and seek advice if unsure.
