Opportunity:

We are currently recruiting for a talented, motivated and ambitious Administrator to join our growing Procurement team in Rugby.

As a Procurement Administrator you will be responsible for performing all office based administrative activities proactively and efficiently, enabling all office staff to work easily and quickly and without disruption.

Responsibilities:

  • Oversee and coordinate all aspects of general office administration including maintaining administrative systems
  • Undertake all general office administrative duties in an efficient manner, always offering a professional and consistent service to office staff
  • Ensure shared diaries are updated with team movements
  • Coordinate team meetings, collating and communicating actions
  • Daily management of order confirmation workbench and notification of problem areas
  • Collate data/information as required for input into monthly and adhoc reports
  • Maintain Materials Desk service log for distribution as required
  • Issue discount cards and procurement documents as required
  • Ensure the procurement filing structure is updated and document control is in place
  • Coordinate CPD and training schedule and liaise with suppliers to arrange
  • Oversee outstanding purchase card transactions and support buyers in chasing VAT receipts
  • Ensure filing and requisitions are closed out reporting non-compliance where required
  • Distribute CEQs to collate customer feedback as required
  • Support buyers with resolving invoice queries, requesting requisitions and/or credits where required
  • Answer telephone calls, enquiries and requests and handle them courteously and appropriately or pass to a relevant member of the team
  • Ensure all incoming and outgoing post is dealt with effectively
  • Create and modify documents using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office
  • Attend meetings as requested

 

Requirements:

  • Educated to GCSE level or equivalent
  • Ability to interpret procedures and policies of the organisation
  • Ability to communicate effectively
  • Knowledge of administrative principles and their application
  • Ability to work well either alone or as part of a team
  • Computer literate
  • Good writing, analytical and problemā€solving skills
