About The Role

 

Manage administrative duties within a geographically dispersed team of HSE Managers ensuring adherence to legislation and internal policies / procedures.

 

To support the activities of the BI & IMS Department with the implementation of the business health, safety, environment and quality (HSEQ) strategy and long-term business plans, helping to cultivate a culture of safe behaviours, quality assurance and continuous improvement.

 

Your key responsibilities:

 

  • Provide effective support to the BI & IMS team.
  • General administrative duties including correspondence, reports, spreadsheets, memos, e-mails and filing.
  • Make use of computerised packages, e.g. Word, Excel and Outlook to assist the BI & IMS function. Also undertake copying, laminating, scanning and other similar duties.
  • Conduct general and specific tasks including support with IT, new starter requirements, manage invoices and payment, maintain relevant Group and MSPS Management information.
  • Arrange meetings, organise meeting rooms, catering and other supplementary requirements including support with the preparation of presentations.
  • Assist with the arrangements and administration of Group, internal and external assurance activities including the collation and filing of reports.
  • Assist with the ‘Action Management’ programme as directed including preparation of reports.
  • Assist with the development and ongoing maintenance of the integrated management system including document presentation, assisting with document control and maintenance of Oracle (intranet) and IMS document repository (SharePoint).
  • Assist with the collation and preparation of HSEQ data and information on behalf of the Head of IMS to support the preparation of performance reports.
  • Assist with the maintenance and management of certifications, memberships, licenses and subscription services managing invoices and payment as required.
  • Collaborate with the MSPS communications and marketing teams and assist with BI & IMS departmental communications.
  • Support and collaborate with others concerning Management Information, uploading information and maintaining access controls to data and information.
  • Undertake administrative duties assisting the HSE Managers and procurement teams with the management of the MSPS supply chain
  • Assist the team in the registration and administration of internal and external recognition schemes including preparation and submission of award entries.
  • To undertake other duties appropriate to the level and character of work as may reasonably be required within the BI & IMS department and wider business. Significant permanent changes in duties will require agreed revisions to be made to this role profile.

 

About You

 

  • Preferably experience in similar role.
  • Ability to produce factual, clear and concise reports.
  • Strong IT, Microsoft and skills are a pre-requisite.
  • Ability to travel as required as you will be expected to be an active presence on site and office locations throughout MSPS.
  • Familiar with internet/intranet platforms for example Oracle (intranet) and SharePoint (IMS document repository).
  • Excellent organisational skills
  • Good communication skills both written and oral.
  • Ability to build effective relationships across the business.
  • Self - motivated and courage to suggest ideas, initiatives and improvements to drive efficiencies and a more effective way to work.
  • Ability to facilitate and co-ordinate functional activities.
