About the Role

Purpose:

Supporting the Contract or function in Commercial administrative duties. 

Key Responsibilities:

Key Responsibilities:

  • Ensure the timely and accurate input of information onto IT MSi system.
  • Carry out input of SOR’s, billing and/or invoicing.
  • Liaise between MSPS Engineers and client to ensure works are instructed correctly and variations are raised and recorded as necessary.
  • Assist in the commercial control of all allocated projects including provision of timely and accurate documentation in accordance with the commercial and finance reporting timetable as required by the SQS/QS.
  • Assist the SQS/QS with cash management including timely application / certification / invoicing / payment / receipts and careful administration of subcontract account
  • Carry out checks to subcontract applications as directed by the SQS/QS - Assist the SQS/QS with subcontract payments as directed.
  • Assist with the procurement of subcontract trades as directed
  • Reconcile material spend with IT system data as required.
  • Assist with the effective commercial management of contracts to maximise gross margin
  • Commercial administrative tasks on a project as directed by the SQS/QS.
  • Assist the SQS/QS with basic surveying duties as directed. May include site visits as required to carry out surveying duties
  • Assist in pulling together information for contract KPI’s as required.
  • Be aware of all our policies, company standards and initiatives.
  • Utilise the iMS system and Commercial Management Rules to ensure standards and consistency across the business
  • Ensure integrity of financial information/work produced as directed by the SQS/QS
  • Effective interaction with members of the client team.
  • Build relationships with key project stakeholders, external and internal.
  • Effective interaction with other members of the project team.
  • Attend project meetings as required.
  • Collaborate with other members of the commercial team in the region to develop best practise.
  • Evidence a basic knowledge of and ensure conformity with Statutory Compliance e.g. The Housing Grants, Construction and Regeneration Act.
  • Manage and distribute incoming and outgoing mail. Maintain related equipment and stock requirements.
  • Make use of computerised packages, eg. Word, Excel and Outlook to assist the Administration function. Also undertake copying, laminating, scanning and other similar duties.

About You 

  • Previous experience preferable
  • Experience with Microsoft packages
  • Excellent organisational skills and customer service
  • You will have excellent telephone skills and be able to obtain detailed information from telephone discussions.
