Job description
The EDMS Coordinator is a key player in our Information Management (IM) project team, reporting to the IM project lead or the EDMS Controller. This role is essential for the successful development, implementation, and support of the Electronic Document Management System (EDMS) tools used throughout the project. The ideal candidate will ensure compliance with Exchange Information Requirements, work according to the UK BIM Framework, and have a strong understanding of BS EN ISO 19650.

Construction Experience is Essential:
Some experience of Field View is desirable, as it is a core tool for ensuring project success. FieldView plays a critical role in the digitisation of forms, project tracking, and ensuring compliance with document control processes. As such, prior experience will enable you to contribute immediately, streamline workflows, and drive efficiency across the project.
Key responsibilities
- Serve as the superuser for the project EDMS, configuring workflows, security groups, and custom fields.
- Troubleshoot EDMS issues specific to the project, escalating to vendors when needed.
- Collaborate with the IM team to develop and implement approved EDMS tools, create documentation, and deliver training.
- Support project reporting activities using data extracted from the EDMS.
- Manage onboarding and access for the project team and supply chain to EDMS tools, ensuring compliance with information security protocols.
- Keep up-to-date with new modules and updates within the EDMS.
- Assist with document control tasks under the direction of the records manager, ensuring accurate preparation and management of documentation in line with established standards.
- Lead the digitisation of forms within Trimble Viewpoint Field View, ensuring the system is fully optimised to meet project needs.
- Contribute to the ongoing development of the EDMS to support additional project tasks such as snagging.
Qualifications and Experience:
- Experience working within one or more AEC (Architecture, Engineering, Construction) disciplines is essential.
- Some hands-on experience with EDMS tools is critical, with specific emphasis on Trimble Viewpoint Field View. Experience with Bentley ProjectWise and Trimble Viewpoint For Projects is also highly desirable.
- Ability to work effectively in a team, with a solid understanding of engineering and construction workflows.
- Self-motivated, results-oriented, and comfortable working with minimal supervision.
- Strong problem-solving and conceptual thinking abilities, along with proficiency in EDMS systems.
- Excellent communication skills, both written and verbal. Fast learner with a keen attention to detail and proficient in standard office software.
- Ability to effectively communicate, provide training, and drive system improvements.
- Willingness to work remotely or from the office/site as required.
