Position: Document Controller
Reports to: Document Control Lead
Business unit: Utility Services – Infrastructure Strategic Alliance (ISA)
Location: Sellafield

Summary:
This is a 12 month fixed term contract. We are seeking a meticulous Document Controller to join our team at Utility Services – Infrastructure Strategic Alliance (ISA) located in Sellafield. The role primarily involves ensuring compliance with document control systems in accordance with the ISA Collaborative Management Plan (CMP).

Key Objectives:

  1. Complying with all activities related to document control procedures.
  2. Maintaining documents and drawings in the document control office with easy traceability and without any damage or deterioration.
  3. Ensuring security classified documents are maintained in compliance with requirements.
  4. Concurrently compiling the project Lifetime Records (LTRs) and reporting progress monthly.

Principal Responsibilities and Accountabilities:
The successful candidate will be responsible for:

  • Inputting and maintaining accurate document data into registers, ensuring receipt, registration, and numbering of all documents.
  • Supporting the implementation of record-keeping requirements using various systems and processes in adherence to ISA standards and policies.
  • Ensuring project-specific document control in line with the CMP.
  • Responding to queries by liaising with various departments, customers, and contractors to obtain information and/or resolve issues.
  • Ensuring timely submission of documents for archiving on icePAC in line with SL requirements.
  • Organizing and filing document receipts, distribution lists, project documents, and drawings.
  • Managing information input into the electronic database (icePAC) in line with SLP 1.10.315.
  • Assisting the project quality engineer in developing records schedules.
  • Conducting complex search and retrieval requests on all ISA systems.
  • Attending project meetings as required and producing/distributing minutes in a timely manner.
  • Ensuring all project documentation is available on eRoom and adheres to Document Control/Customer procedures.
  • Reporting on overdue and/or incomplete records on a weekly basis to the Document Control Lead.
  • Compiling and maintaining the Blue Book as requested by the Project Manager.
  • Performing general day-to-day document control duties.

  • icePAC Training (Training available
  • SQEP requirement
  • Excel (Beginners)
  • PC Suite / Electronic Document Management System training
  • Cimage trained
  • Excel (intermediate/advanced)

Technical Skills and Experience:

  • Knowledge and experience in document control.
  • Ability to use computers for data input, record retrieval, and information retrieval.
  • High level of accuracy and attention to detail.
  • Proficiency in spreadsheets, databases, word processing, and job-specific software.
  • Ability to prioritize and organize workload, following process and procedure.
  • Ability to meet deadlines without compromising on quality.
  • Ability to work independently or as part of a team and build strong working relationships with people at all levels.
